Who is collecting the data?

Ballyhoura Bears Walking Club are committed to protecting your privacy and processing your personal data in accordance with the general data protection regulation GDPR from the 25th May 2018. Ballyhoura Bears Walking Club is the Data Controller and is responsible for storing and otherwise processing that data in a fair, lawful, secure and transparent way. The following policy sets out the information we collect, how we use it and the steps we take to protect your privacy.

What is the legal basis for processing the data?

The club needs to collect and use data about its members for the organisation and administration of the club. Our lawful basis for processing your personal data is that we have a contractual obligation to you as a member to provide the services you are registering for. The data is supplied by each member when they join the club via the membership form.

What data is being collected?

The following information is held in respect of each member, name, address, e-mail address, phone number, family name and contact details in case of emergency (ICE). Mountaineering Ireland membership number. We also use web analytics technology to collect and store information when you interact with our website, and this includes the use of cookies and similar tracking technologies. These cookies do not contain any personally identifiable information about you. We only use this information for trends and statistics and to evaluate the efficiency of our website and our internet infrastructure.

How we use your information.

We use your personal information in the administration and running of the club in a number of ways:

  • To communicate with you as a member either by e-mail, phone or post in relation to the maintenance of your membership or renewal.
  • To issue emails of club events and other events and services relating to our activities that members may be interested in
  • To make walk leaders’ contact phone numbers available to members when they log on to the Walk Schedule on the club website, in order to contact the leader in advance of going on a walk, in accordance with club rules.
  • To facilitate Mountaineering Ireland membership and insurance.

Will your data be shared with any third party?

When you become a member of or renew your membership with Ballyhoura Bears you will automatically be registered as a member of Mountaineering Ireland. We will provide Mountaineering Ireland with your personal data which they will use to enable access to an online portal for you (www.mountaineering.ie - Login). This will enable you to sign into and update your Mountaineering Ireland details. It is vital, therefore, that a valid email address is given, so that you can ensure that your data is correct and so that you can set your own privacy settings.
If you have any questions about the continuing privacy of your personal data when it is shared with Mountaineering Ireland, please contact This email address is being protected from spambots. The club may also be required to share your information with An Garda Siochana, Mountain Rescue or other emergency services when requested to do so in the case of an accident or an incident on the mountains. We may share your information with training providers as needed. Member’s data will not be disclosed or shared with any other third party without your permission. We will maintain a database for all current members and this will enable us to communicate with you as and when necessary. Relevant information will be forwarded to Mountaineering Ireland as above.

Retention of data.

Your information will be held for duration of your membership and up to one year after your membership has lapsed. There may be instances where information is retained longer than this such as where the member was involved in an accident or incident on a club walk or event. Members at any stage can request photographs in which they feature to be taken down from the club website or social media by contact the club PRO or secretary. You have the right at any time to request access to, rectification or erasure of your personal data, to restrict or object to certain kinds of processing of your personal data. You have the right at any time to complain to the Data Protection Commissioner’s Office about the processing of your personal data. You are not obliged to share your personal data with the club. However, if you choose not to share your personal data with us we may not be able to register or administer your membership.

Consent

When joining, or renewing your club membership, or submitting your personal information to us, you signify your consent to the club using the information provided in the manner described by this policy.
